Track defects or maintenance requests in buildings

You operate a real estate and the detection of maintenance problems is a real headache: problems are not always transmitted to your subcontractors, requests are not centralized, your customers complain of a lack of follow-up or responsiveness of your services.

Ubiqod allows you to set up a system for collecting these maintenance requests, like a bug tracker but in "the real world".

By implementing QR codes in the different areas of your buildings, you allow customers to quickly and easily report malfunctions. The user simply scans the QR code with his smartphone and is invited to report the malfunction from a list of choices: you are then immediately informed of the place, the location and the problem to be solved.

You can make the process more reliable by defining PIN codes that will allow you to ensure that it is a request from an accredited user. You can also automatically send an email to the site operation manager so he can take action.

In any case, the reports can then be sent to the database of your choice.

Setup your Sites

  • Create one or more Sites corresponding to your operated buildings
  • For each Site, setup the Site Manager email and/or phone number (depending on how you want to inform him)

Setup your maintenance request Action lists

Maintenance requests can differ from one place to another: create the different Action lists and affect them to the different Qods accordingly.

Setup your PIN Code list (optional)

Create your PIN code list and attribute a PIN code to each accredited user.

Setup your Dispatch groups

Create one first group called "Notification": it will be used to send a request notification to the Site Manager.

Create a second group called "Requests": it will be used to send requests in your favorite database.

Setup your Qods

Create a Qod for each location you want to equip:

  • Select the corresponding Site
  • Select the two previously created Dispatch groups
  • Select the Qod Action 'Select an option in a list' and the suitable Action list of maintenance requests previously created
  • (optionally) Ensure GPS Qod Condition is checked
  • If you want to use PIN code, check "Ask user to enter a PIN code"
  • Print the Qod and fix it to the right location!

Anytime a user will scan the Qod, he will be asked to select his requests and (if configured) to enter his PIN code. Then, the time stamped information will be dispatched.
